Terms and Conditions

  1. Introduction

    Red Velvet Travels (SASU), with its registered office located at 58 rue de Monceau, 75008 Paris, France, is registered with the Commercial Court of Paris under RCS Number 981 076 425 R.C.S. Paris and has a declared capital of €7,500.00. Our Terms and Conditions outline the framework for bookings made through our service, supplementing the preliminary information required under Article R.211-4 of the Tourism Code. These terms apply to any booking made via email, telephone, or other means and are integral to understanding our service commitments and your rights as a client.

  2. Definitions

    Client: Any individual or entity booking travel services with Red Velvet Travels, directly or via a representative. Includes all service beneficiaries.

    Services: Comprehensive travel-related services including, but not limited to, accommodations, tours, transport, admission tickets and event tickets.

    Booking: The reservation of one or more Services, confirmed upon the Client's completion of the payment or deposit process as outlined.

    Agreement: The binding contract between the Client and Red Velvet Travels, established upon Booking, incorporating these Terms and Conditions, any additional contractual documents, and all related confirmations or amendments.

  3. Contract Establishment

    The contract is deemed established at the point of booking confirmation, following the client's acceptance of these Terms and Conditions. This acceptance is reaffirmed through the payment process as outlined below.

  4. Services Provided

    Services offered by Red Velvet Travels are detailed in individual quotations, which may include specific terms tailored to each service. In the event of discrepancies between general and specific terms, the specific terms will prevail.

  5. Pricing and Payment

    General Payment Conditions: All prices are inclusive of VAT and communicated during the quotation process. An initial deposit of 25% is required to secure the services, of which 15% is non-refundable.

    Payment Methods: Accepted payment methods include credit card and international bank transfer.

    Final Payment: The balance is due 50 days prior to the commencement of the service.

    Special Payments: Full payment is mandatory at the time of booking for last-minute bookings, tickets, and special events.

    Special Deposits and Fees: Deposits for special services vary and are specified during the quotation process. A surcharge of 50% applies on holidays and specific dates or weekends. Additionally, a last-minute booking fee of 25% is charged for bookings made within 48 hours of the event or over weekends.

  6. Specific Insurances

    Red Velvet Travels does not include insurance coverage in the pricing of its services. We strongly encourage clients to secure a comprehensive travel insurance policy at the time of booking. This policy should ideally cover scenarios such as cancellations, medical repatriation, accidents, and illness, thereby providing protection against significant unforeseen events that could impact your travel plans.

  7. Amendments and Cancellation Policy

    General Cancellations: Cancellation must be communicated in writing, followed by a confirmation call if after 5 PM GMT. Refunds are subject to cancellation fees and third-party commitments. Specific cases outlined in service descriptions may impose more restrictive terms.

    Cancellation Fees:

    More than 50 days prior to the service date: A cancellation fee of 20% will be charged.

    49 to 30 days prior to the service date: A cancellation fee of 35% will be charged.

    29 to 15 days prior to the service date: A cancellation fee of 70% will be charged.

    Less than 15 days prior to the service date: A cancellation fee of 100% will be charged.

    In certain cases, as outlined in the individual service descriptions, cancellation and modification terms may be more restrictive. Under these conditions, up to 100% of the fee may be non-refundable, irrespective of when the cancellation or modification request is made.

  8. Modifications by Red Velvet Travels

    Red Velvet Travels reserves the right to to make necessary modifications to the Services. Most changes are minor and will be communicated to the Client prior to booking confirmation or as promptly as possible. Should external events or unforeseen circumstances require alterations to a critical element of the contract with the Client, Red Velvet Travels will inform the Client at the earliest opportunity. Alternative arrangements will maintain the quality and satisfaction standards of our services.

  9. Refunds

    Refunds are processed using the original payment method within 30 days of a valid cancellation request. Refunds apply only to services that have not been rendered,, except as otherwise specified.

    Applicable cancellation fees, as outlined in the contract, along with any non-refundable deposits or administrative charges, will be deducted from the refund amount. In the event that services are modified or canceled by the company due to unforeseen circumstances or other reasons specified in the Terms and Conditions, clients will be notified and refunds will be processed according to the outlined policies.

  10. Liability and Indemnification

    Red Velvet Travels' Responsibility: In accordance with Article L. 211-16-I of the French Tourism Code, Red Velvet Travels is committed to ensuring the proper execution of all travel services outlined in the contract. Responsibilities include, but are not limited to:

    • Ensuring all services are delivered as agreed upon in the contract.

    • Addressing any discrepancies or failures in service delivery promptly.

    Exceptions to Liability: Red Velvet Travels is not liable for:

    • Failures caused by the client’s actions or inactions.

    • Failures due to unforeseen or unavoidable actions by third parties not connected with the provision of services under the contract.

    • Extraordinary circumstances beyond our control that could not have been avoided even if all due care had been exercised.

  11. Client Obligations and Responsibilities:

    Travel Requirements: Clients are responsible for ensuring they possess all necessary travel documents, visas, and valid health insurance.

    Service Usage: Clients must use all services in accordance with the terms specified and are expected to behave in a manner that does not disrupt the provision of services.

    Indemnification: Clients are required to indemnify and hold harmless Red Velvet Travels, its employees, and agents from any claims arising from misuse or breach of the contract.

    Exclusions: Red Velvet Travels does not accept liability for incidents related to activities not booked through our service, as these are beyond the contracted scope of service.

  12. Intellectual Property

    All content related to our services, including text, graphics, and digital downloads, is exclusively owned by Red Velvet Travels or its licensors . This content is protected under copyright laws.

  13. Data Protection and Privacy

    Personal data is collected and utilized solely for booking and managing travel arrangements, and for other purposes as specified in our full privacy policy, in strict compliance with the General Data Protection Regulation (GDPR). We do not store credit card information. Clients have the right under GDPR to access, correct, or request deletion of their personal data at any time.

  14. Acceptance of Terms

    By booking a service with Red Velvet Travels, clients are deemed to have accepted these Terms and Conditions in full. Additionally, continued use of our website or services following any updates to these terms will also constitute acceptance of such changes.
